Find out more about how Ladybird Communications and T-Tech transitioned a firm of solicitors from an on-premises PBX phone system to Microsoft Teams Telephony to further embed their agile work ethic.

Solts

Who are Solomon Taylor & Shaw?

Solomon Taylor & Shaw LLP (SOLTS) are a boutique firm of solicitors with an office based in Hampstead, London.

The Challenge

During the pandemic and the then requirement to work from home, the realisation that staff didn’t need to be in the Hampstead office to perform their roles became apparent and was the catalyst for SOLTS to move to an agile working model; to be able to conduct business from any location.

Whilst the legacy on-premises PBX phone system allowed users to work from home, the system was starting to show its age and the limitations of having a physical handset was still restricting staff to either work at the office or at a home office for making and receiving calls.

If staff were not next to a physical phone, clients reported difficulties in reaching their contacts, so to overcome this, staff would often give out their personal mobile numbers to clients.   Whilst this improved the client experience, colleagues then had the challenges of having little to no visibility of presence on the phone system and calls were being transferred to physical handsets resulting in multiple calls through multiple devices.

The Solution

T-Tech had already transitioned SOLTS over to using Teams within Microsoft 365 for video conferencing, so T-Tech / Ladybird recommended integrating Teams Telephony into the existing set up and having one unified platform for video conferencing and making and receiving calls.

Jointly project managed by T-Tech and Ladybird Communications, SOLTs moved 40 users over to full Teams Telephony within a month of the project sign off. SOLTS had a unified communications solution that was fully integrated with their Microsoft 365 cloud services platform.

The Teams Telephony solution was available on PCs but with the enhancement of the Teams Mobile Application, installed on any mobile device, means that all limitations to where staff work were removed. Presence setting provides availability visibility to colleagues and calls are automatically diverted when the user is busy.

Benefits of SOLTS moving to Teams Telephony:

  • Cost containment – elimination of maintenance costs, phone lines and other on-premises PBX expenses
  • Improved communications regardless of location and device
  • Collaborative working capabilities and full integration of the phone system into the existing Microsoft 365 environment
  • No dependence on being based within an office.

The Results

“We have a longstanding relationship with the Ladybird Communications and T-Tech teams who have serviced our office with telephony, cabling and door entry access over the years. It was an obvious move to approach them to consult and take advice on how we move to an agile working approach that allows our clients to contact us no matter from where our staff are working.

Professionally project managed from start to finish, the engagement meant our transition from a desk-based telephone system to cloud-based Teams Telephony was seamless, and the mobile app gives our staff the freedom to work from anywhere without missing our clients’ important calls”
